its 7 months away, around the holidays, etc... that's what i think the delima is here.
i'm sure people's priorities will change during that long of a period.
(things pop up, money, family issues, work schedules etc...)
also not getting a refund of not showing up will possibly turn people away.

The problem with letting people get refunds is that if they bail at the last minute and get their money back, that chunk comes out of someone else's pocket since we were counting on their money to pay part of the track fee. I don't want me or someone else to end up being on the hook for an extra $1000 if a few people decide not to come at the last minute. I have organized stuff like that before and I always end up getting shafted and paying 2 to 3 times what other people pay. I can't afford to do that this time, especially with the amount of money we're dealing with here.

Just sent money, hopefully some slower trucks will be coming.... Or I am going to need to make some changes to my setup....

ok we're talking a minimum of 60 trucks paying $100 to = $6,000 for the track rental.
if there are more than 60 trucks, the left over money can be refunded to the know shows. i understand perfectly where you are coming from, we had the same problem here and the organizer chunked out the rest. but no refunds would be more practicle if it were a month away.

That's a thought....then again, you have to consider whether it would be more fair to refund the no-shows or reduce everybody's cost by refunding the excess evenly across all of the attendees. I'm open to suggestions/opinions on this.

I personally say leave it the way it is....no show no refund...Those who do show more than 60 or even more etc...get $$$$$ back in what the difference is....I also asked about the concession stand but my personal opinion if theres $$$$$ left over get someone to go to the store and get makings for BBQ or hamburgers or have Pizza brought out and drinks just another suggestion..after 8 hours people will be hungry..
